Description: The position will work closely with all levels of the organization and performing essential organizational support. All logistics coordination in and out of the facility Working with shipping Vendors to get rates and arrange pick-ups/drop-offs domestic and international Working with Sales, Production and Service for Customer Shipments Take care of all freight claims and follow up to get resolution Approve freight invoices for payment Assist with general office duties including answering phones, greeting visitors and ensuring all guests and visitors get signed in Assist in ensuring all necessary paperwork gets filed accordingly and timely as well as ensuring that files stay up to date and within company standards. Assist with running various reports from company software Assist with inputting information from various sources and as directed into company software Assist in assembling/gathering information for files to be prepared for invoicing Assist in sending information to customers, vendors and other parties as directed and assigned Assist with processing change orders Assist with verifying information on check out sheets vs. shipped files Maintaining a workflow that ensures timely adherence to all deadlines. Requirements: Demonstrated organizational ability and ability to work effectively under deadlines. Strong attention to detail Solid computer skills including familiarity with Office and ability to learn proprietary software quickly and accurately Ability to sit and work from a desk for extended periods of time Ability to work, and communicate across various departments and positions within the organization Ability to receive and retain instructional information
