SUMMARY The City of Thornton is seeking an Intern to assist with Records and Information Management duties. Under direction of the Records Program Administrator, the intern will support records management projects in various functions throughout the City. Duties include: Scanning and indexing documents and maps with long-term retention into the City's electronic records management system Assisting employees in organizing records on shared drives, including identifying records for deletion Assisting with physical file management in the City Clerk's Office Work hours/days: Flexible with school schedule. 20 hours per week during business hours, M-F 8am to 5 pm. Please note that we are seeking a candidate that is currently enrolled in a Master's degree program in Library and Information Science, Archival Science, Records Management, or a related field. Intern III: This is the journey-level class in the Intern series. ESSENTIAL FUNCTIONS (Essential functions, as defined under the Americans with Disabilities Act, may include the following tasks, knowledge, skills and other characteristics. Scans and indexes documents and maps with long-term retention into the City's electronic records management system. Assists employees in organizing records on shared drives, including identifying records for deletion. Assists with physical file management in the City Clerk's Office. Gathers data and related information for projects. Provides staff support related to projects within their work area. Performs data analysis and reporting on assigned projects. Performs other duties as assigned. QUALIFICATIONS Education/Experience: Intern III: Bachelor's degree plus one year of experience in specific department or progress toward completion of a master's degree in a related field. Licensing/Certification Requirements: May need the ability to travel to various locations in a timely manner as the job requires. Knowledge, Skills, and Abilities: Knowledge of the policies, procedures and goals of the City of Thornton and the department. Knowledge and experience in the use of office equipment. Knowledge of data processing procedures. Knowledge of the principles and practices of conducting research. Skill in the use of standard office software. Skill in the use of Windows, Word and Excel programs. Skill in the use of the internet and on-line research. Ability to understand and interpret various forms of information. Ability to use conduct calculations and data manipulation for report purposes. Ability to draft documents. Ability to read, interpret and clearly explain policies to a variety of constituents. Ability to exercise independent judgment and discretion. Ability to establish and maintain effective working relationships with employees, elected officials, boards and commissions, other jurisdictions and members of the general public. Ability to listen well and communicate effectively orally and in writing with various audiences. Physical and Mental Requirements: While performing the duties of this job, the employee is regularly required to stand, walk, kneel, squat, stoop, climb, crawl, repeatedly twist the upper body, talk, hear, see, demonstrate manual dexterity and perform light lifting. The employee is required to sit and perform duties requiring the use of repetitive motions for prolonged periods and to exercise visual concentration for extended periods. The employee must demonstrate the ability to remain calm during routine and stressful conditions. TESTING PROCEDURES Examinations may include but are not limited to application screening beyond minimum qualifications; written, oral, practical exercise or any combination thereof or other job related assessment deemed appropriate by Human Resources.
